The Private Banking Assistant will provide administrative support and extraordinary service to the Private Banking team. Interact daily with a diverse group of external callers and visitors as well as with internal clients at all levels of the organization. Ensure that all who contact CrossFirst Bank, via phone or in person, are received in a professional, warm and friendly manner.


  • Provide overall administrative and customer relationship support for the Private Banking team.
  • Monitor upcoming maturities, collect required financial information, maintain document and collateral exceptions to a minimum or within approved levels and monitor repayment activities.
  • Proactively manage and communicate with clients to obtain financial and other necessary information to process loan renewals and minimize administrative past dues.
  • Schedule and coordinate meetings and travel and manage supplies.
  • Respond timely to requests for information, researching discrepancies and resolving issues.
  • Escalate issues and problems and communicate with Bankers and Managing Director as appropriate.
  • Assist bankers in preparing and reviewing all documents necessary to onboard new client relationships and close new and renewed credit facilities.
  • Assist clients in making advances and pay downs on committed loan facilities and with completing routine treasury activity such as transfers and overdrafts.
  • Review files after closing to ensure all required documents are signed and delivered in accordance with Bank policy.
  • Monitor loans and deposits, overdrafts, past due ticklers, collateral and documentation exceptions, financial condition of borrowing clients and take necessary action to collect past due accounts and ongoing repayment ability of all other accounts. Communicate with bankers and Managing Director as appropriate.
  • Correspond with applicant(s), internal employees and outside vendors in obtaining all necessary documents to underwrite, process and close new loans as well as renewals and obtain expiring or lapsed documents, to include title policy, UCC searches, appraisal reports, environmental reports, etc.
  • Assist bankers in obtaining current collateral, financial and legal information and distribute collected information among applicable internal teams.
  • Assist in preparing loan closing documents for approved commercial loans including promissory note, deed of trust, business loan agreements, guarantee and other required closing documents to prepare for loan funding.
  • Consistently maintain a high level of communication with the Managing Director, Bankers and staff; communicate deadline changes and potential conflicts.
  • Prepare management reports as needed, such as sales pipeline report, watch list and other reports as assigned.
  • Interact with internal and external clients while providing extraordinary service.
  • Develop and maintain trusted, positive relationships with employees, clients and vendors.
  • Represent the Bank and Private Banking team in a highly professional manner.
  • Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
  • Maintain confidentiality; adhere to CrossFirst Bank policies and procedures; comply with laws, regulations and industry best practices.
  • Reliable and predictable attendance.


  • Proven performer in a fast-paced, service-oriented role ideally from a Private or Commercial Banking environment with demonstrated knowledge and understanding of bank products, treasury services and operations.
  • Demonstrated residential lending experience preferred.
  • Proven ability to review all loan documentation necessary to perfect the bank’s security interest in collateral and to ensure the loan documentation is prepared in accordance with the loan approval from the Bank’s Loan Committee.
  • Proficient technical skills with the Internet and in Microsoft Office (Word, Excel, Outlook).
  • Exceptional organizational skills and demonstrated success in a multi-task environment with attention to detail and follow through.
  • Reputation for persistence, flexibility, dependability and team work. Must possess ability to remain calm in the face of changing priorities, work with a sense of urgency and communicate with co-workers and manager
  • Bachelor’s degree with exposure to Business Administration or related courses is preferred or equivalent work experience.
